Form Dashboard Security

When working with security of a Form Dashboard, Owners or administrators can use the security to control access to the data and dashboard editing capability. Dashboards can be created and published to a group of users who need to see more data while another dashboard with less data can be published to a different group. Owners and Administrators of a dashboard control the publishing via security. Security can be used as a mechanism in combination with other configurations to control the functionality of a form dashboard.

Owners of a form template are the only users that can create dashboards.

Owners of a dashboard can modify every aspect of a dashboard. Editors can modify the dashboard layout, but cannot assign security rights to the dashboard.

When working with the Form Data Dashboard, you will need to understand the security applied to the Form Template and security applied to the Dashboard in combination can create different results..

Setting security in the dashboard allows for other users to assume Owner, Editor, or Viewer Roles of that dashboard only. Depending upon the security applied to the Form Template, and the columns included in the dashboard will determine the ability of a user to view or modify form data.

For example, if a user has Viewer rights to a dashboard they cannot modify the dashboard layout. If the same user has Editor rights to a form template, and the dashboard includes the Edit column, they can modify data for a Form ID, but cannot change the dashboard layout.

* Columns for closing a Form ID, or check boxes for deleting a Form ID must be included in the dashboard to allow this functionality.

All user roles can apply a filter when viewing a dashboard in order to find what they are specifically seeking. Owners and Editors can filter data when creating or modifying the dashboard in order to hide or narrow what users of the dashboard see. Owners can create multiple versions of the dashboard for a given form template. These various versions can be published to groups of users needing different rights to the data. For example, if you had a group of users who should not modify the data, but they need to view it, you would make them viewers of the Dashboard and Viewers of the Form Template, or publish a version of the dashboard without the Edit column.
