VisualVault provides the basis for automating business processes with a focus on compliance systems. Organizations require a combination of rigidity with flexibility. While seemingly opposing goals, the reality is that while processes can be defined, we must allow for out-of-band processing, or exception management.
Consider the processing of Corrective Actions (CA), a common requirement of most compliance systems. The source for recording the observation of a CA can be an audit (internal, customer or regulatory agency), the result of a non-conformance, a customer complaint /return or systemic issue. Thus, the originator of the CA can be any stakeholder to the organization.
In general, a CA is processed centrally and routed to the department or division most affected or involved. The use of VisualVault HTML forms allows record keeping, workflow routing and document associations to ensure a complete body of evidence is collected to summarize the actions, containment, root cause analysis, mitigation and verification of the issue. The use of QuickRoute controls allows a pre-defined workflow routing to also support loosely defined branches of workflow activity. This capability supports the ability to delegate based upon the issue cited and complete audit trails ensure you meet regulatory requirements.
Automated invoice capture and approval is an example of how VisualVault may be leveraged to automated processes. Invoices are semi-structured documents with key information arrayed on the invoices which are delivered in many different formats. Using sophisticated OCR technology, account payable (A/P) staff can group invoices, scan in batches and automatically extract the key data (Supplier Name, address, supplier number, invoice number, invoice date, line item detail and total invoice value).
This capture process stores the invoice images within a VisualVault repository, populated fields with the values collected from the invoices, and provides auto-foldering capability based upon a hierarchy dynamically defined by the invoice data. The use of conditional workflow routing within VisualVault automates the invoice approval process. The automated routing achieves scan-to-business rule routing.
Unstructured processes can be defined and yet allow for the inherent flexibility that represents the culture of your organization.
